General Summary:

The Program Specialist will provide general administrative and project management support for Center for Teaching Excellence and Innovation (CTEI) and University programs and events including scheduling event coordination program and workshop communications and program data collection. This person will work closely with the Teaching Academy director and the Center’s administrative manager to ensure effective and efficient management of CTEI programs – both in person and online. The program specialist should be highly detail oriented and proactive in solving logistical challenges.



Essential Duties and Responsibilities:

  • Identify potential event locations and reserve facilities.
  • Coordinate A/V and other technical support for events in person and online.
  • Contact vendors to identify catering options manage orders and manage logistics with vendors.
  • Set up and manage registration systems for events.
  • Communicate with event presenters and ensure timely collection of presentation materials.
  • Create and print event materials such as registration checklists name badges manuals worksheets etc.
  • Assist CTEI staff in planning events and initiatives including work plans timelines and budgets.
  • Create coordinate and disseminate event communications and program announcements via email web social media and print to internal and external audiences.
  • Update CTEI websites with information about events and programs.
  • Respond to participant questions about CTEI programs and events.
  • Provide onsite support leadership and troubleshooting during events as needed.
  • Compose and implement policies and procedures for event planning best practices.
  • Keep minutes at planning meetings; document and track decision making and task assignments.
  • Track event participation for specific events and across programs (e.g. Teaching Academy Certificate of Completion).
  • Conduct pre- and post-event evaluations/surveys and report outcomes.
  • Compile data used to publish reports to senior administrators.
  • Other administrative and program coordination duties as assigned

Knowledge, Skills and Abilities:

  • Excellent oral written and interpersonal communication skills including proofing and editing.

  • Ability to manage high volume of work and multiple priorities.

  • Ability to generally work independently as well as part of a team

  • Proficient with Microsoft Office Suite (Word Excel) Zoom MS Teams Eventbrite and Social Media etc.





Minimum Qualifications
  • High School Diploma or graduation equivalent
  • Three years related experience
  • Additional education may substitute for experience to the extent permitted by the JHU equivalency formula

  • Bachelor's degree
  • Familiarity with audio visual equipment and troubleshooting
