UW Oshkosh Center for Community Development, Engagement and Training (CCDET) is an outreach department on campus. CCDET’s mission is to offer creative solutions to meet workplace challenges by utilizing University resources to provide consulting services, training and educational services, data management and project management. The Pathlore Registration Coordinator position fits without CCDET’s data management service area. This position works on a variety of project contracts that include: Department of Children and Families (Wisconsin Works, Child Support Agencies and Childcare Agencies), Department of Health Services-Division of Medicaid Services (Functional Screeners), Department of Health Services-Division of Quality Assurance (Wisconsin Caregiver Training Project) and the Wisconsin Dementia Care Training Project.

The Registration Coordinator is a key position within CCDET that monitors the Pathlore Learning Management System, registers participants for different trainings and provides customer assistance and technical support over the telephone or through email. This position also supports the program by writing and sending LMS-related correspondence and reports, communicating with state-wide agency staff, assisting with web design and publishing, and helping to maintain and revise online courses. The role requires a high degree of accuracy, excellent critical thinking skills, attention to detail, the ability to work well in a team environment, and being a self-initiator.

This full-time position will be working on the UW Oshkosh campus. The work schedule is Monday through Friday from 8:00 am to 4:30 pm.

Standard Job Summary:
The Outreach Specialist delivers and assists with planning outreach program activities, strengthens partnerships, ensures adherence to policy, and assists with program administration to promote stable and productive relationships between the university and local community. Strives to expand and ensure access to programs, facilities, and educational services to diverse audiences. May assist with tracking and managing the outreach program budget.


Detailed Job Duties:

40% Enter and Retrieve Data for Workshops

  • Course and Class Maintenance, Registration Management
  • Enter data for workshops using Pathlore LMS software
  • Verify workshop information including topic, site, trainer, date, and time
  • Enter registration and completion transactions into Pathlore LMS software
  • Correspondence and Communication
  • Assist in proofing printed and electronic materials generated by Pathlore LMS software
  • Modify and revise correspondence to adhere to database parameters
  • Develop, generate and send correspondence
  • Answer inquiries about workshops
  • File correspondence and registrations
  • Provide technical and customer support to LMS users
  • Troubleshooting
  • Recognize discrepancies, problems, and errors to realize where decisions must be made
  • Reporting
  • Use Crystal Reports to develop, revise and test reports in conjunction with Pathlore LMS software

  • Troubleshoot issues and resolve problems in a timely matter

  • 15% Provide purchasing support for CCDET

  • Upon receipt of approved purchase request, order items from numerous online ordering websites.
  • Reconcile and reallocate monthly P-card and Staples purchases.
  • Maintain accurate purchasing records.
  • Maintain and update the office’s inventory of supplies.

  • 5% Back-up Help for Nelnet System (online purchasing system).

  • When needed in a back-up capacity only, provide the following:
  • Create and/or update Nelnet store webpages.
  • Use HTML coding for webpage text.
  • Oversee fulfillment of purchases and refunds.
  • Create reports to control account balances.
  • Assist customers by phone or email with purchasing/processing of orders.

  • 5% Back-up Help for Qualtrics Survey System

  • When needed in a back-up capacity only, provide the following:
  • Create and/or update Qualtrics surveys.
  • Create reports as needed to meet project needs and requirements.
  • Consult with Qualtrics Administrator as needed on new projects
  • Provide technical support through phone and/or email.

  • 10% Build and Maintain Relationships

  • Attend CCDET All Staff meetings (as scheduled).
  • Maintain a working knowledge of CCDET projects.
  • Serve as a resource for other CCDET staff as well as partner staff, as needed.
  • Maintain positive working relationship with all funding sources.
  • Additional duties as assigned.

  • Standard Job Description:
    • Identifies, promotes, and maintains external partnerships to support the outreach program
    • Schedules and secures resources and communicates logistics in support of an outreach program
    • Delivers outreach program content and materials to community members
    • Researches, develops, and facilitates outreach program content and materials
    • Develops and evaluates curriculum and programs and provides recommendations for improvement
    • May assist with the monitoring of outreach program budget spending
    • Leads the implementation of programs, policies, and procedures through oversight of day-to-day activities for program staff and student and community volunteers
    Qualifications Required:
    • Bachelor's degree
    • Working knowledge of database functions
    • Excellent written and verbal communication skills
    • Strong customer service skills
    • Excellent computer skills, including MS Office products
    • High level of problem solving and decision making
    • High level of critical thinking skills
    • Proofreading skills, including recognizing discrepancies, problems, and errors
    • Proven ability to work independently and in a team environment

    • Experience working with Pathlore Learning Management System

    • Familiarity with HTML, and web design and publishing
